The coordinator will be responsible for mastering the Modern Hire and Taleo portals to ensure students' progress smoothly through the admissions pipeline, minimizing delays and addressing any obstacles that arise. The role requires proactive problem-solving, escalation of issues when necessary, and a commitment to delivering exceptional customer service. Successful candidates will possess strong communication, organizational, and multitasking skills to resolve challenges quickly and ensure a seamless student experience. Ultimately, the Admissions Coordinator will play a key role in maintaining the smooth and efficient daily operations of UAA's admissions process.Key Responsibilities:Oversee daily operations of the student intake process, ensuring students' progress efficiently through the pipeline.Coordinate student tasks, ensuring timely completion of required documentation and compliance with academy standards.Track and monitor student progress, ensuring all required documentation is completed for enrollment.Implement best practices for student intake and maintain accurate, up-to-date records.Foster strong relationships with vendors and service providers to support student needs.Manage supply inventory, ensuring necessary student supplies are stocked and ordered as needed.Maintain master schedules for classes to ensure proper student attendance and class capacity.Perform clerical tasks, including answering calls, responding to emails, and maintaining organized files.Provide feedback from students, customers, and employees to management, offering recommendations for improvement.Collaborate with team leaders and department heads to understand departmental goals and align operational strategies.Ensure compliance with local, federal, industry, and company standards across all activities.Identify, escalate, and resolve any issues in the student intake process to maintain operational efficiency.Qualifications:2-4 years' experience as an operations coordinator or similar roleHigh school diploma/GED required.Bachelor's degree preferred.Experience in office management or an administrative role.Excellent communication and people management skills.Minimum Requirements:Excellent organizational and time management skillsProficiency in Microsoft Office SuiteAbility to multitask, prioritize and work independentlyExperience in the customer service field is a preferredExcellent phone etiquetteAbility to coordinate multiple schedulesSelf-starter and highly organized with an aptitude for problem-solvingNeat, professional appearanceStrong knowledge of social media and demonstrated usage of tools such as LinkedInAbility to handle highly confidential informationComfortable working in a fast-paced environmentStrong computer skills including strong knowledge of HRIS systems, experience with Modern Hire and Taleo is preferredAttention to detail, while appropriately balancing accuracy and speedPositive attitude, with a willingness to learn new responsibilities, adapt to change, collaborate as a team-player, and has a passion for continuous improvementStrong verbal and written communication skills with the ability to present effectively to small and large groupsCommitment to the company culture as a subsidiary of United Airlines and valuing the Core4Physical Requirements:Prolonged periods of sitting at a desk.Must be able to lift up to 15 pounds at times.EEO Statement: Westwind School of Aeronautics Phoenix, LLC, dba United Aviate Academy (UAA) is an Equal Opportunity Employer and Prohibits Discrimination and Harassment of Any Kind - All employment decisions at UAA are based on business needs.
