HR Administrative Assistant (Summer Position)

Reports to: HR Specialist, Human Resources

Hours of Work: 9 a.m. to 5:30 p.m., Monday through Thursday (30 hours per week)

Summary:Great opportunity for an HR or Legal student or recent graduate to gain hands-on experience. Working under the direction of the Specialist, Human Resources, the HR Administrative Assistant will provide general clerical duties, data entry, file maintenance, policy research, participation in the recruiting process, and orientation.

Responsibilities:

  • Assist with the roll-out of the new HRIS system (Bamboo HR)
  • Update the HR employee database and ensure accuracy
  • Assist with the recruitment process and onboarding
  • Update internal telephone directory and company organizational chart as changes occur and distributes to all staff
  • Review and update employee files to ensure that documents have been filed correctly
  • Organization and maintenance of volunteer forms
  • Maintain accurate and comprehensive personnel records, including preparing any confidential documentation and communications
  • Perform filing, scanning for HR and Legal and other administrative duties as required
  • Receive and sign for all deliveries; reconciles packing slips with items received
  • Order office supplies as required
  • Assist with special projects as necessary

Required Skills and Experience:

  • Related Community College or Bachelor’s Degree, or working towards/equivalent experience and interest in HR/Legal work
  • Previous experience managing or working with contracts an asset
  • Superior judgement and ability to maintain confidentiality at all times
  • Excellent organizational and time management skills
  • Effective communication skills with individuals at all levels of the organization
  • Able to work efficiently, both independently and as a part of a team
  • Computer literacy, including effective working skills in email, MS Word, Excel and PowerPoint
  • Exceptional attention to detail
  • Excellent proofreading and editing skills
  • Experience using Salesforce or RightSignature as an asset
